Visa Support Instructions
A visa is required for citizens of countries that do not have visa-exempt agreements with Japan.
In order to obtain a visa, you need to take the following steps.
Please read it carefully, and contact us if you have any questions. *Contact information is shown below.
This support will be closed on Aug. 29.
1] Register for Participation to Cluster2008/Grid2008
Please register for participation on-line.
You will receive a first confirmation message of registration by e-mail.
Please contact to the Registration Office (cluster2008_and _grid2008 @ics-inc.co.jp) if you need to.
2] Pay the Registration Fee
When your payment is completed, the Registration Office will send you a second confirmation message for payment by e-mail.
3] Book a Flight
Please contact a travel company in your country and book a flight.
4] Reserve a Hotel (https://act.jtbgmt.com/gmt/ssl/cluster-grid2008.asp)
JTB Global Marketing & Travel Inc. is our official travel agency for Cluster2008/Grid2008.
For your convenience we suggest you reserve a hotel via JTB Global Marketing & Travel Inc.
Please contact JTB Global Marketing & Travel Inc. (cluster-grid2008@jtb.jp) if you need any assistance.
Please note that you must book the flights and a hotel by yourself.
5] Fill out the Visa Application Form (Visa Application Form: Word file / PDF File)
You will be able to fill out the form when you have completed the above procedures. Please fill out the form completely and send it back to the Visa Support Office by e-mail (grid2008_visa@ics-inc.co.jp).
*if you are Chinese and have a name with Chinese character, we will send you an additional document to know your Chinese character.
6] Hand in the Received Visa Document Package to the Japanese Embassy or Consulate
After we have received the form, we will prepare a Visa Document Package for you, and will send it to you by express courier. When you have received the package, please take it to the Japanese Embassy or Consulate as soon as possible. If you have any problems, please contact the Visa Support Office immediately.
Once we send the Visa Document Package, to refund your registration fee will not be available for any reason.
7] Get Ready to Attend the Conference
After you have obtained your visa, everything is ready for visiting Japan. Have a nice flight!
